RE:
Updated Cold Chain Protocol — Effective June 1, 2026

Purpose

This memo outlines updated cold chain monitoring procedures that take effect June 1, 2026. These changes align with our SQF Level 3 recertification requirements and FSMA 204(d) traceability mandates.

Key Changes

  1. Temperature logging frequency: Increased from every 30 minutes to every 15 minutes for all refrigerated zones.
  2. Alert threshold: Reduced from 42°F to 40°F for all dairy storage. Alerts now route to both the shift supervisor and QA manager simultaneously.
  3. Documentation: All temperature excursions must be logged in NetSuite within 2 hours of occurrence, with corrective action documented within 24 hours.

Action Required

All warehouse supervisors must complete the updated training module (GFS-TRAIN-CC-2026) by May 28, 2026. Contact your facility QA lead for access.

Questions should be directed to ops@GlobalFoodSolutions.co or extension 4102.

RE: Shipment Shortage — SO-2026-05-0834 / BOL-78291

Dear Mr. Whitfield,

What happened: On May 16, 2026, your delivery under Sales Order SO-2026-05-0834 arrived 2,400 lbs short of the ordered quantity. The BOL indicated 42,240 lbs of barrel cheddar, but receiving confirmed only 39,840 lbs.

Root cause: An inventory discrepancy at our Edgewood facility resulted in an under-pick during the overnight shift on May 15. The shortage was not caught during our standard pre-load QA check due to a barcode scanner malfunction on Bay 3.

Immediate correction: A replacement shipment of 2,400 lbs has been dispatched today (May 19) via refrigerated LTL, scheduled to arrive at your Newark facility by May 20 at 14:00 ET. No additional charges will apply. Credit memo CM-2026-0198 has been issued for the freight differential.

Prevention: We have implemented the following corrective actions:

  • Bay 3 scanner replaced and all scanners added to weekly calibration schedule
  • Dual-count verification added for all orders exceeding 40,000 lbs
  • Overnight shift supervisor now signs off on all pre-load weight tickets

We take full responsibility for this error and understand the impact on your operations. Your business is important to us, and we are committed to the reliability you expect from GFS.

Sincerely,

Michael Levine

Date / Time
05/18/2026 at 02:15 ET
Location
Edgewood DC, Zone 3
Description of Incident
At 02:15 ET on May 18, 2026, the Zone 3 temperature monitoring system triggered an alert when the ambient temperature reached 43°F, exceeding the 40°F threshold. The zone contained approximately 168,960 lbs of barrel cheddar across 4 customer orders. The excursion lasted approximately 45 minutes before corrective action restored temperature to 37°F.
Root Cause
Compressor unit #3 experienced a refrigerant leak in the condenser coil. Leak was identified at the fitting connection on the high-pressure line. Annual maintenance inspection was current (last service: 03/15/2026).
Immediate Actions Taken
1. Shift supervisor activated backup cooling unit at 02:20 ET
2. Product temperature verified via pulp probe: 38°F (within acceptable range)
3. All affected lots placed on QA hold pending review
4. Refrigeration technician dispatched; leak repaired by 04:30 ET
5. Zone temperature restored to 36°F by 03:00 ET
Corrective Actions
1. All product released from QA hold after pulp temp verification (max 38°F)
2. Compressor #3 condenser coil replaced (not just repaired)
3. Inspection frequency for refrigerant fittings increased from annual to quarterly
4. Backup cooling auto-activation threshold lowered from 42°F to 41°F
