02Voice PrinciplesHow GFS Sounds

GFS writes the way it operates — with clarity, precision, and purpose. Every word earns its place. Our voice is consistent across all surfaces: UI, email, proposals, documentation, and internal communications.

Operational
Not corporate. We sound like people who move food, not people who write memos about moving food.
We are pleased to inform you that your order has been processed
Your order shipped today
Per our discussion regarding the aforementioned delivery
Following up on the May 12 delivery
It has come to our attention that certain discrepancies exist
We found a 240 lb shortage on PO-2026-04871
Data-Forward
Numbers before narrative. Lead with the data, then explain what it means.
We had a really great month for deliveries
99.4% on-time delivery in April across 12,847 shipments
Our cold chain compliance is industry-leading
99.2% temperature compliance, 0.8% variance below USDA threshold
Sales have been trending positively this quarter
Q2 revenue: $12.8M, up 14% from Q1
Human
Not robotic. We write for people, not systems. Clear, direct, and conversational when appropriate.
Error: Invalid input detected in field 'quantity'
Quantity needs to be a number. Example: 42,240
The system has successfully completed the requested operation
Done. Your shipment is confirmed for May 19
Users are advised to contact support for further assistance
Need help? Call (877) 728-5550 or email ops@GlobalFoodSolutions.co
Precise
Not vague. Specifics over generalities. Name the thing, state the number, cite the source.
The shipment will arrive soon

■ Voice is not tone. Voice is who we are — it stays constant. Tone adapts to context. A temperature alert is urgent. A welcome email is warm. A compliance report is formal. The voice beneath them all is the same: operational, data-forward, human, precise.

RE: Q3 2026 Pricing Agreement — Barrel Cheddar & Process Cheese

Dear Mr. Jordan,

Thank you for your continued partnership with Global Food Solutions. Following our May 6 conversation regarding Q3 pricing, I am writing to confirm the terms we discussed for the July 1 – September 30, 2026 period.

Barrel Cheddar (40 lb blocks): Pricing will continue at CME trailing week average plus the 35% moisture premium bracket, consistent with the Bongards contract structure. Based on current market conditions, this places the effective price at approximately $2.18/lb, though the final rate will adjust weekly per the CME settlement.

Process Cheese Loaf (6/5 lb cases): Fixed at $48.50 per case for the full quarter, reflecting a 2% reduction from Q2 pricing in recognition of your increased volume commitment (200+ cases/month).

Delivery: Weekly deliveries continue every Tuesday, refrigerated (34–40°F), with Certificate of Analysis included in each shipment. Lead time remains 5 business days from PO submission.

Payment Terms: Net 30 from date of invoice. Early payment discount of 1% available for payment within 10 days (1/10 Net 30).

Please review the terms above and confirm your acceptance by May 31, 2026. I have attached the formal pricing schedule as a separate document for your records.

As always, please do not hesitate to reach me directly at (877) 728-5550 or Michael.Levine@GlobalFoodSolutions.co if you have any questions.

Respectfully,

Michael Levine

FROM:
Michael Levine, CEO
DATE:
May 18, 2026
RE:
Updated Cold Storage Entry Procedures — Effective May 25, 2026

Effective May 25, 2026, we are implementing updated procedures for cold storage entry at the Edgewood facility. These changes are based on recommendations from our Q1 safety audit and align with OSHA cold stress prevention guidelines.

Key Changes

1. Buddy System Required. All entries into cold storage (≤ 0°F) require a minimum of two people. Solo entry is no longer permitted under any circumstances.

2. Maximum Continuous Exposure. Time limit reduced from 90 minutes to 60 minutes per entry. A mandatory 10-minute warm-up break is required before re-entry.

3. Entry Log. All cold storage entries must be logged on the digital sign-in tablet at the freezer entrance. Log captures employee name, entry time, and expected exit time.

4. PPE Check. Supervisors will conduct a visual PPE check before each entry. Required: insulated coveralls, insulated gloves, face protection, and steel-toe insulated boots.

Action Items
All warehouse staff: Complete cold storage refresher training by 05/23/2026
Supervisors: Ensure entry log tablets are operational at both freezer doors
Safety team: Post updated signage at all cold storage entry points

Questions should be directed to James Rodriguez, Safety Manager, at ext. 4102 or jrodriguez@GlobalFoodSolutions.co.

Thank you for your commitment to keeping our team safe.
